A chart of accounts is a list of all the categories used by your bookkeeper to record your business sales and purchases.

If you don’t have the right balance of categories, you might not be able to calculate which service is making or losing money. You need enough detail to know the services that bring in the most revenue and how the money from your sales is spent. The problem with too many categories is the detail becomes overwhelming.
The categories from the chart of accounts get summarized in your financial reports. The purpose of these reports is to provide a summary of the financial performance of your business for your review. Financial reports should provide information for you to make decisions on how to improve overall results.

Think of a chart of accounts like goldilocks – you want to get it just right! You have enough detail to know the services that are bringing in the cash and where it’s going.
How to Apply:
- Step 1: Get your most recent Profit & Loss statement
- Step 2: Look at the Sales (income/revenue) section.
- Do you know how much money each service earned?
- If not, you need to add more accounts.
- If you can’t tell easily then you may need to combine some accounts for less detail.
- Step 3: Look at the Expense section.
- Do you know the top 5 categories where your money was spent? Think payroll, facility costs, advertising & marketing, supplies and overhead.
- If not, you may need to add categories or organize for subtotals.
- Step 4: Meet with your bookkeeper to discuss changes to your chart of accounts so you have just the right detail to know with confidence how your business makes and spends its money.
